Cancellation & Refund Policy

1. Overview

We understand that plans change. This policy sets out the refund amounts you are entitled to depending on how far in advance you cancel your booking. All cancellations must be submitted in writing (see Section 5).

Refund percentages are calculated on the total amount paid at the time of cancellation, excluding any non-refundable third-party costs (such as pre-purchased permits or airline tickets booked on your behalf).

2. Traveller-Initiated Cancellations

The β‚Ή1,500 processing fee covers bank transfer charges and administrative costs. It applies only to cancellations made 45+ days before departure where a full refund would otherwise be due.

3. Operator-Initiated Cancellations

If we are required to cancel a tour due to circumstances within our control (insufficient group numbers, operational issues), we will:

  • Give you as much notice as possible
  • Offer a full refund of all monies paid, or
  • Offer an alternative departure date or tour of equivalent value

We are not liable for any additional costs you may have incurred (flights, visas, accommodation) in preparation for the cancelled tour. This is why comprehensive travel insurance is strongly recommended.

4. Force Majeure

If a tour must be suspended or cancelled due to circumstances beyond any party's reasonable control β€” including but not limited to natural disasters, acts of government, pandemics, civil unrest, or extreme weather events β€” we will:

  • Offer a credit note valid for 12 months for the full amount paid, or
  • Offer a rescheduled departure date at no additional cost, or
  • Issue a partial refund of recoverable costs, less any non-recoverable third-party expenses already committed

Cash refunds in force majeure situations are at our discretion, subject to what we are able to recover from suppliers.

5. How to Cancel

All cancellation requests must be submitted in writing. We accept cancellations via:

The cancellation date is the date on which we receive and acknowledge your written request. Verbal requests are not accepted.

6. Refund Processing

Approved refunds will be processed within 10–14 business days of the cancellation being confirmed. Refunds are made to the original payment method used at the time of booking. We are not responsible for delays caused by your bank or payment provider.

7. No-Shows

If you do not arrive at the departure point on the agreed date and time without prior written notice, this will be treated as a cancellation made less than 7 days before departure. No refund will be issued.

8. Travel Insurance

We strongly recommend that all travellers purchase comprehensive travel insurance at the time of booking. A good policy should cover trip cancellation, medical emergencies, evacuation, and loss of belongings. We are happy to advise on what to look for, but we do not endorse any specific provider.
