Information you give us

When you submit an enquiry or booking request through our forms, we collect:

• Full name
• Email address
• WhatsApp / phone number
• Travel preferences (group size, preferred month, destination interest) and cycle-fitment details (e.g. height)
• Payment transaction identifiers (order and payment IDs) when you book online — full card/UPI credentials are handled only by our payment processor and never touch our servers
• Any additional notes you provide in the free-text fields

Information collected automatically

Our website may collect standard web-server logs (IP address, browser type, referring URL, pages visited, time of visit) through our hosting provider for security and performance monitoring. We do not use analytics, advertising, or tracking cookies — see Section 5 below and our Cookie Policy for the exact cookies used.

• To respond to your travel enquiry and prepare a personalised itinerary or quote
• To communicate with you about bookings, trip logistics, and pre-departure information
• To improve our website and services based on aggregate usage patterns
• To comply with our legal obligations as a registered tour operator in India

We do not use your data for automated profiling, and we do not send unsolicited marketing emails. If you wish to receive updates about new tours, we will ask for your explicit consent separately.

Our website uses the following third-party services that may process your data:

• Razorpay (payment processing) — When you pay online, your billing and transaction details are processed by Razorpay under their privacy terms so the payment can be completed and verified.
• PayPal (payment processing, international guests) — If you choose to pay in US dollars with PayPal, PayPal processes your payment and related details (such as your name, email and transaction information) under the PayPal Privacy Statement, and may use device and fraud-prevention signals. We receive your name and email from PayPal together with the order and payment reference and the amount — never your PayPal login or card details.
• Our own server — A copy of your enquiry and any confirmed booking (name, contact details, travel preferences, payment reference, number of seats) is kept on our own secure server so our team can track and respond to it. Only Sudarshan Sanchari Tours can sign in to view it.
• Google Sheets (via Google Apps Script) — Our enquiry and booking forms save your submitted details (name, email, phone, travel preferences, booking references) directly to our private Google Sheet so our team can respond. Data is stored in our Google account under Google's privacy terms.
• Cloudflare Turnstile — We use Cloudflare's Turnstile widget to protect our forms from spam. Cloudflare may process your IP address and browser data to verify you are human. See cloudflare.com/privacypolicy.
• WhatsApp — If you choose to contact us via WhatsApp, your messages and phone number are processed by Meta under their own privacy terms.
• Hosting provider — Our website is served from a privately managed server run by our hosting partner, which may record standard server logs (IP address, browser type, pages visited, timestamps) for security and performance monitoring. Typography is self-hosted, so no third-party font requests are made.

We do not sell, rent, or share your personal data with any third party for marketing purposes.

We do not set any cookies ourselves, and we do not use analytics, advertising, or tracking cookies. Strictly-necessary cookies may be set in only these situations: Cloudflare Turnstile, which protects our enquiry forms from spam bots, and Razorpay, which sets cookies on its own domain only when you choose to pay online, and PayPal, whose button script on the Tour of Kutch booking page may set cookies on its own domain while the button loads and when you pay. We also use one browser local-storage entry that remembers you have seen a promotional popup.

Enquiry data is retained for as long as necessary to fulfil the travel service you requested, and for up to three years thereafter for business record purposes. You may request deletion at any time (see Section 8).

We take reasonable precautions to protect your data, including using HTTPS for all data transmissions. However, no method of transmission over the internet is 100% secure. Please contact us immediately if you believe your data has been compromised.

You have the right to:

• Request a copy of the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention obligations)
• Withdraw consent at any time where processing is based on consent
